Description:

Executive Assistant – Dubai

A leading aesthetics company is looking for an Executive Assistant in Dubai, UAE. This is a fantastic opportunity for someone who will primarily manage GM’s calendar, including making appointments and prioritizing the most sensitive matters, plan agendas and take minutes of the meeting and share them subsequently, act as the point of contact between the GM and internal or external colleagues.

Responsibilities:

  • Organize meetings and book meeting rooms
  • Maintain calendar of marketing events and annual leave of the management team
  • Handle correspondence, such as writing and editing e-mails, drafting memos, and preparing communications on the GM’s behalf
  • Support with producing reports and presentations
  • Timely submission and travel and expense reports on SAP Concur
  • Maintaining the current filing and database system, and looking for ways to improve current systems
  • Country coordinator for company gatherings, management meetings, and delegate visits
  • Manage all travel arrangements – flights, visas, hotels, meals, and others
  • Assist in event logistics – booking venues, branding, on-site materials, team building activities
  • Liaise with EMEA legal and compliance team for contracts, documents, and signatures
  • Support with ESG initiatives in the organization
  • Help build a culture based on trust, teamwork, and collaboration
  • Maintain confidentiality of highly sensitive information
  • Ensure compliance with local-HQ guidelines and regulations
  • Support with adhoc projects and requests from the GM

Qualifications and skills:

  • 5 years of experience in administrative support functions
  • Bachelor’s degree required or equivalent work experience
  • Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail
  • Proficient in Microsoft Office (Outlook, Word, ExcPowerPointer Point), Adobe Acrobat, and social media web platforms
  • Very strong interpersonal skills and the ability to build relationships with key stakeholders
  • Excellent time management skills
  • Well-developed organizational skills
  • Great verbal and written communication skills
