The Opportunity
As the first dedicated Equity Administrator you will assist in assessing, building, and scaling Flock’s stock administration function. You will maintain accurate records of all stock plan transactions and ensure that vesting schedules, exercise periods, and other plan criteria are managed effectively. You will manage and process all equity plan transactions (grants, exercises, cancellations, performance-based tracking, etc.) and ensure all transactions are compliant with internal policies and external regulations. As an Equity Admin, you will partner closely with the company’s Legal, People Operations, Tax and other teams, as necessary to complete all transactional processes: new grants, vesting events, exercises, terminations / cancellations, etc. You will also own process improvement and automation including enhancing and documenting equity-related procedures and policies and managing relationships with external service providers. We would love if you enjoy serving as the primary contact for queries related to stock plans and educating plan participants on plan features, enrollment, and procedures. A few more role details below that you will own:
- Assist with preparation of stock-related matters in Company annual and periodic financial statements to ensure accurate accounting and reporting of stock-based compensation
- Support broad-based educational programs and communications related to our employee equity programs and policies
- Liaise with external plan administrators, brokers, and transfer agents to ensure service standards are met
- Assist in the design of new stock plans and the modification of existing plans to align with the company’s strategic goals.
- Implement new plans and changes including systems setups, employee communication, and coordination with external advisors.
The Skillset
- Bachelor’s degree in Business Administration, Finance, or a related field required
- Certified Equity Professional (CEP) credential is highly advantageous
- 5+ years in stock plan administration
- Experience with global equity programs and knowledge of tax and securities law as it pertains to stock plans in multiple countries
- Strong knowledge of equity software platforms such as Carta, E*TRADE, Fidelity, and/or similar platform
- Experience with financial reporting and tax reporting related to equity compensation
- Proven ability to handle confidential information with discretion and professionalism
- Proficient with Microsoft Office Suite, especially Excel, and familiarity with databases and equity management software
- Ability to interpret financial data and legal documents to ensure compliance and inform stakeholders
- Precision in handling details necessary for accurately executing transactions and maintaining documentation
- Excellent verbal and written communication abilities with experience in educating and answering participant inquiries

- Schedule walkthroughs

- Meet with members of the cross functional team to understand their roles and responsibilities
- Provide initial observations of the current process
- Spend time understanding Carta and the data
The First 60 Days
- Detailed documentation of the current process including recommendations for improvements
- Assess accuracy of data in Carta and perform any audits/reconciliations, as needed
90 Days & Beyond
- Own the process
- Required system and process changes/improvements are underway
- Any changes to roles/responsibilities are underway

Salary & Equity
In this role, you’ll receive a starting salary of $140,000 – $160,000 as well as stock options. Base salary is determined by job-related experience, education/training, as well as market indicators. Your recruiter will discuss this in-depth with you during our first chat.
