Job Description

The Document Controller is responsible for managing, organizing, and maintaining company documents, ensuring accessibility and compliance with company policies. This role involves document preparation, reviewing technical records, and ensuring proper filing and archiving of all critical information. The Document Controller plays a key role in supporting transparency, accuracy, and efficiency in document handling.

Key Job Responsibilities

  • Copy, scan, and store documents systematically.
  • Check for accuracy and edit documents such as contracts and technical files.
  • Review and update documents to ensure compliance with project and quality standards.
  • Distribute project-related documents to internal teams and external stakeholders as required.
  • Maintain digital and physical filing systems for easy retrieval of records.
  • Create standardized templates for future document use.
  • Manage the flow of documentation across various departments.
  • Ensure confidentiality and proper handling of sensitive information and agreements.
  • Prepare ad-hoc reports and document summaries as required by management.
  • Maintain and update project management systems (PMS) for document tracking.
  • Implement document retention policies and ensure timely archiving of old records.
  • Support audits and compliance checks by providing necessary documentation.

Education Qualification, Work Experience & Skills

  • Education: Diploma or Associate degree in Business Administration, Computer Science, or a related field.
  • Experience: 0-2 years of experience in a similar role or an administrative position.
  • Technical Skills: Basic proficiency in MS Office (Word, Excel) and document management tools.
  • Attention to Detail: Ability to organize documents with accuracy.
  • Communication Skills: Basic verbal and written communication skills.
