Job Description

  • Welcome clients and their pets warmly upon arrival.
  • Answer phone calls and WhatsApp messages promptly, ideally within 10 minutes, addressing inquiries and concerns immediately. As well as sending medical reports and updating clients.
  • Manage appointment bookings and confirmations efficiently.
  • Handle multiple tasks simultaneously, including check-ins, check-outs, and accommodating clients waiting for their appointment.
  • Prepare and process billing for services rendered, ensuring accuracy.
  • Handle payments and provide clients with receipts.
  • Follow up on all pending payments
  • Prepare daily closing reports at the end of each shift and directly sent them to Finance.
  • Communicate effectively with veterinary staff and management to relay client needs and concerns.
  • Compile and submit daily reports to management regarding appointments, feedback, and any issues encountered.
  • Handle client complaints and concerns professionally and promptly, striving for resolution.
  • Actively seek feedback from clients about their experiences and the services provided.
  • Conduct follow-up calls or messages to check on patient recovery and client satisfaction.
  • Maintain and update patient and owner files to ensure accurate and up-to-date records.
  • Knowledge of Services: Be aware of all clinic services and procedures to inform clients accurately.
  • Manage product displays, keep track of inventory, and promote veterinary services and products to clients.
  • Actively sell and promote clinic services and products to meet monthly targets.
