 Hiring Corporate Secretary for Resolute Group – Dubai UAE

This position takes charge of secretarial functions for the Managing Director office such as diary management, attending to guests and visitors, handling phone calls, preparing correspondences, keeping important documents (official and personal) and coordinating with all stakeholders regarding matters affecting personal, company’s over-all operations. Other duties may assign from time to time.

Duties and Responsibilities:

  • Ensures the diary management of the Managing Director are properly managed and arranged.
  • Attends to all visitors and guests of the Managing Director making sure that their business appointment with the latter is facilitated.
  • Schedules regular meetings with the Department Managers and/or Area Managers to be attended by the Mancom, HOD Meeting, Product Testing & NP Board, Designs committee & Opening of the stores.
  • Coordinates with the Landlords for renewal, payment, documentation particularly on matters concerning them.
  • Maintain and updates the tenancy contracts, trade licenses and Ejari for all stores.
  • Screens and handles all incoming and outgoing calls in a courteous and professional manner.
  • Ensures housekeeping and maintenance of Managing Director Office.
  • Organizes and keeps track of the Managing Director daily schedules ensuring proper coordination with whoever the latter has an appointment with.
  • Prepares correspondences and memorandum to be signed by the Managing Director and disseminates/circulates them to department managers, Area Managers, employees, or any business partners concerned.
  • Executes a systematic filing system ensuring that all important documents are properly maintained to keep its confidentiality.
  • Generates reports as required by the Managing Director.
  • Sorts and annotates all the incoming correspondences, proposals and internal memoranda.
  • Arranges travel documents of Managing Director and family members.
  • Other duties and responsibilities that may be assigned to me from time to time

  • Consequence of Error:
  • Failure to coordinate all scheduled meetings may affect the timetable of the Managing Director’s plans or programs and may hamper participant’s schedules
  • Delayed or non-dissemination of Managing Director’s memos may result to confusion, misunderstandings or delayed execution of department’s programs.

Responsibility for Resources:

  • Office equipment and supplies such as fax machine, computer and printer

Responsibility for Information:

  • Managing Director’s plans and programs
  • Managing Director’s business transactions

Job Specification

  • Educational Attainment
  • Bachelor’s Degree in Office Administration, Management or any business-related courses
  • At least 3 years’ experience as an office secretary preferably in the executive level
  • Computer literate
