We are urgently looking for a Coordinator position (Dubai).

Language Required: Hindi & English

  • Accounting Knowledge and Documents Control skill are required.
  • Promptly responding to the shipping inquiries received through sales or overseas agents.
  • Evaluate shipping/air freight requirements and provide accurate quotations for shipments based on factors such as cost, type of cargo, cargo volume, destination, and delivery timelines.
  • Coordinate with internal teams, including sales, operations, and finance, to ensure timely and accurate preparation of quotations.
  • Conduct thorough research & send enquiry by email, phone calls & Dubai trade portal to obtain competitive freight rates from shipping/air lines.
  • Receive shipment details from clients or overseas agents and initiate the shipment process by submitting job cards to the finance department to create a job number.
  • Obtain Client confirmation for freight rates and secure bookings with shipping lines or air lines. Forward the booking confirmation to the client after placing the vessel/airline booking.
  • Ensure compliance with documentation requirements, including Bill of Entry (BOE), Document Processing Charges (DPC), Gate Pass, Gate Advise, and GAC Payment, by liaising with Dubai Customs.
  • Arrange Delivery Orders (DOs) from shipping lines/ air lines and obtain required permissions from the government institution which are mandatory for the custom clearance in Dubai.
  • Generate Payment Vouchers (PV), obtain necessary approvals from salespersons and submit them to the finance department for processing.
  • Coordinate with operations/transporters to arrange the delivery of import cargo to the designated delivery locations.
  • Forward Container numbers and seal numbers to client for export shipment loading.
  • Coordinate with operations, messengers to collect required documents, make payments to shipping lines, air lines & government institutions & obtain exit stamp from the customs.
  • Submit daily CDR reports to the finance department for reconciliation and analysis.
  • Maintain effective communication with management, sales, operations and finance to ensure seamless transportation operations.
  • Coordinate the logistical challenges associated with shipping lines, government institutions, Dubai Customs, Dubai Port authorities, etc. to facilitate smooth handling of exports and imports cargo.
  • Communicate with customers and salesperson on any problems, delays in the clearance process.
  • Build a strong relationship with clients by providing excellent communication and personalized services.
  • Any other duties assigned by the management.
