About the job

Our team is looking for an AR Cash Applications Specialist who will help protect the financial interests of Guayaki by researching, analyzing, and processing disputes and applies cash based on remittance and investigation. You’ll focus on cash applications on independent accounts and key accounts with some collections. This is a fast-paced position that plays an integral role on the Guayaki Accounting Team. We are looking for a driven, self-starter who loves problem solving and providing results!

How you’ll help:

  • Perform complex account reconciliations involving retrieving the remittance advice, deduction research, portal access, uploading data to ERP.
  • Apply cash to invoices based on remittance advice ensuring accuracy and attention to detail.
  • Perform collection efforts by making calls, sending emails, following up and documenting all communication in the system.
  • Report weekly on status of outstanding invoices.
  • Resolves complex customer deductions, billbacks, placement fees, fines, rebates, incentives, shipment/returns disputes.
  • Investigates dispute claims by gathering information to validate collectability (i.e., proof of delivery docs, contractual rebate/incentive agreements etc.)
  • Files dispute with customer in timely manner. Follow up on resolution consistently.
  • Escalates unanswered dispute with customer/Account Manager to obtain dispute status/resolution.
  • Produce and distribute weekly deduction status reporting to management/sales team.
  • Work closely with sales to identify deductions and obtain approvals.
  • Other duties as assigned based on business needs or management’s request.

 What you’ll provide:

  • Microsoft office suite, proficiency in Excel; Pivot tables and VLOOKUP functions a plus.
  • Ability to manage deadlines simultaneously, excellent verbal & written communication skill.
  • Ability to develop positive business-based relationships.
  • Encompass and Net Suite experience is a plus
  • Food and beverage distribution is a plus
  • Willingness to learn
  • Self-starter and motivated

How you’ll be successful in this role:

Effective Cash Collection:

Ensure timely and accurate cash application by performing Accounts Receivable activities, including applying and collecting cash promptly. This involves managing collection activities such as sending follow-up inquiries, addressing past due accounts, and maintaining cash receipts and customer aging schedules. The successful candidate should contribute to improving cash collection efficiency and minimizing outstanding balances.

Process Enhancement and Compliance:

Play a role in driving the development, communication, and improvement of Accounts Receivable processes and policies. This includes helping to create, implement, and enforce department timelines, providing weekly reports on invoicing, aging, cash receipts, and invoice adjustments, and conducting regular Key Performance Indicator assessments. The candidate should also collaborate with internal resources to resolve inquiries, prepare balance sheet reconciliations, and maintain the Accounts Receivable aging schedule.

Continuous Improvement and Communication:

Actively participate in the development, recommendation, and implementation of department improvements, focusing on enhancing process efficiency and meeting operational needs. Additionally, the successful candidate should maintain internal control procedures, accounting policies, and fulfill audit requests to ensure policy compliance. Furthermore, they should enforce existing policies and procedures and make recommendations for improvements when necessary. It is essential to maintain strong cross-functional teamwork with both internal and external stakeholders, demonstrating excellent communication skills, professionalism, and a positive customer service attitude, both internally and externally.
