Position Summary
The Billing Specialist will play a critical role in ensuring accurate, timely invoicing for client accounts and maintaining the financial health of the firm. This position requires a keen eye for detail, strong organizational skills, and the ability to work effectively in a fast-paced legal environment. The Billing Specialist will manage the billing cycle, resolve billing discrepancies, and communicate with clients regarding their accounts.
Key Responsibilities
- Billing & Invoicing: Generate and review client invoices in accordance with firm guidelines and client agreements. Ensure all billable hours and expenses are accurately captured and documented.
- Account Management: Monitor and manage client accounts, ensuring timely and accurate billing. Address any billing discrepancies or adjustments in collaboration with legal staff and clients.
- Client Communication: Respond to client inquiries regarding billing issues, payments, and account statuses. Provide outstanding customer service to clients and resolve billing-related questions professionally and promptly.
- Collections Support: Assist with accounts receivable, following up on outstanding balances and initiating collection processes as necessary.
- Record Maintenance: Maintain accurate billing records and client account information within the firm’s accounting system, ensuring compliance with confidentiality standards and data integrity.
- Reporting & Reconciliation: Prepare regular reports on billing and collections status for internal review. Perform monthly account reconciliations to ensure accuracy.
- Compliance: Ensure all billing practices comply with firm policies and relevant legal standards, including maintaining confidentiality and data security protocols.
- Process Improvement: Identify and suggest improvements in billing and invoicing processes to enhance efficiency and accuracy within the department.
Requirements
Qualifications
- Education: Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred. Equivalent work experience will also be considered.
- Experience: Minimum of 2 years of experience in billing, accounting, or finance, preferably within a law firm or professional services environment.
- Technical Skills: Proficiency in billing software (e.g., Clio, QuickBooks) and Microsoft Office Suite (Excel, Word). Familiarity with legal billing processes and time-tracking software is a plus.
- Communication Skills: Strong verbal and written communication skills with the ability to interact effectively with clients and internal staff.
- Detail-Oriented: High level of attention to detail and accuracy, with excellent organizational and time-management skills.
- Problem-Solving Skills: Ability to handle billing discrepancies and identify solutions for efficient billing processes.
- Teamwork: Collaborative and able to work well within a team, while also being capable of managing responsibilities independently.
