AP/AR Entry-Level Clerk

About the job

The AP/AR Entry-Level Clerk is responsible for supporting the accounts payable (AP) and accounts receivable (AR) functions within the finance department. This role includes processing invoices, tracking payments, and ensuring accurate financial records.

Responsibilities

    Accounts Payable (AP):

  • Process and verify incoming invoices from vendors or suppliers.
  • Ensure that invoices are accurately matched with purchase orders or receipts.
  • Enter payment information into accounting software or systems.
  • Assist in preparing and processing checks or electronic payments.
  • Help resolve discrepancies or issues related to vendor payments.

    Accounts Receivable (AR):

  • Generate and send invoices to clients or customers.
  • Track incoming payments and ensure they are applied correctly to accounts.
  • Assist in following up with customers on overdue payments.
  • Update customer accounts and resolve any discrepancies.

    General:

  • Maintain accurate records for AP and AR transactions.
  • Assist with month-end and year-end financial reporting.
  • Prepare basic reports related to AP/AR activity.
  • Provide support to the accounting team as needed.
  • Ensure compliance with company policies and accounting standards.

Requirements

  • High school diploma or equivalent.
  • Basic understanding of accounting principles.
  • Proficiency in Microsoft Office (especially Excel).
  • Attention to detail and accuracy in data entry.
  • Strong organizational and time management skills.
  • Good communication skills, both written and verbal.
  • Ability to work independently and in a team environment.
  • Basic knowledge of accounting software (QuickBooks, Sage, or others) is a plus but not required.
  • Ability to maintain confidentiality and handle sensitive financial information.
