Hiring Administrative Executive (Real Estate experience only)

Role Description

  • Attend a daily operations team meeting hosted by the Operations Manager.
  • Send a WhatsApp message with your daily activities report in the management group twice daily.
  • Formal attire is a must, maintaining body odor, and hygiene at any given point of time during working hours.
  • Accomplishing all official work within 12 hours of the task assigned without any delay, if there is any delay from external sources needs to be updated back to the assignee with the details within 12 hours.

Portal Listings & Responsibilities –

  • Prepare for Form-A on the Dubai Brokers App.
  • Apply a trakheesi permit for each property.
  • Gather property photos, pre-listing materials, comparative market analysis with online property profiles, and property monitor research
  • Manage and add listings on portals as assigned by the Sales team members, accuracy on listings details, manage approvals, delete once the property is sold/rented, lead management, and leads segregation on portal CRMs, Hubspot & Odoo CRM.
  • Prepare and manage user login details of the company employees on Property Finder, Bayut, Dubizzle, and Property Monitor, including the company and the user’s profiles to be verified on all portals.
  • Keeping records of all listing activities, such as when a property was first listed or when it was sold.
  • Acquire the necessary signatures for each listing agreement, seller’s disclosures, and other required documentation and send them to the real estate broker for file compliance.
  • Keeping records and updating the CRM with the portal leads.
  • Preparing reports detailing a property’s performance over time, including a number of viewings, offers made, and price changes.
  • Preparing Listing & Leads Reports daily and sharing them with the management the end of the day.
  • Follow up and update the leads tracker by taking updates from the sales team members.
  • Distribution of walk-in clients, and incoming calls (property finder, Bayut/Dubizzle, and all other platforms generating leads) inquiries must be reported to the CEO the same day through WhatsApp, CRM, or call.
