Job Description

The Administrative Clerk will be responsible for performing a variety of clerical and administrative tasks to support the daily operations of the office. This position involves handling patient records, scheduling appointments, managing communications, and ensuring the office runs smoothly. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities

  • Answer phone calls, direct inquiries, and take messages for the appropriate staff members.
  • Schedule and confirm patient appointments, ensuring efficient use of healthcare providers’ time.
  • Maintain and update patient records, ensuring all documentation is accurate and complete.
  • Process incoming and outgoing mail, including patient forms, correspondence, and reports.
  • Assist with filing, scanning, and organizing patient charts, medical records, and other office documents.
  • Prepare and send patient reminders, appointment confirmations, and other communications.
  • Provide general administrative support, including copying, faxing, and scanning documents.
  • Coordinate office supplies and manage inventory to ensure the office is well-stocked.
  • Assist with patient billing and insurance verification as needed.
  • Collaborate with medical staff to ensure patient care and office operations are efficient and timely.
  • Perform other administrative tasks and special projects as assigned by supervisors.

Qualifications

  • High school diploma or equivalent required; associate degree or certification in office administration is preferred.
  • Previous experience in an office setting, ideally in healthcare or medical administration.
  • Strong organizational and time-management skills with a keen attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (fax, scanner, copier).
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and adhere to HIPAA regulations.
  • Strong interpersonal skills and ability to interact with patients, staff, and management professionally.
  • Ability to multitask, prioritize, and work efficiently in a busy environment.
  • Strong problem-solving abilities and initiative.
