About The Role

Our client is seeing a detail-oriented Administrative Assistant to support the Talent Acquisition and Security Team. This role plays a crucial part in ensuring the smooth operation of corporate Talent Acquisition and Security processes. Responsibilities

  • Manage multiple schedules, calendars, Outlook shared emails, and various Microsoft systems supporting all team members.
  • Coordinate meetings, interviews, and engage with all members of the corporate team and managers on service delivery.
  • Provide basic technical support for corporate systems with guidance from the IT department as needed.
  • Manage a shared email inbox.
  • Monitor and respond to all Help Desk tickets for the Recruiting and Security Team.
  • Build and input all data for job descriptions, requisitions, and workflows in the Applicant Tracking System (ATS).
  • Support administrative duties for additional Talent Acquisition and Security platforms.
  • Run weekly, monthly, quarterly, and annual reports for managers and directors.
  • Record meeting minutes and prepare written summaries of data as required.
  • Respond to and resolve administrative inquiries and questions.
  • Assist in preparing agendas and schedules for meetings.
  • Perform customary administrative duties as necessary, including ad-hoc project support.
  • Assist with planning and organizing employee appreciation activities.
  • Aid in document repository management and organization as requested.
  • Complete other assigned administrative duties.

Location

This position will be remote, with the potential for travel to headquarters for events as needed (Vienna, VA).

Requirements

  • At least 3 years of experience in administrative support or office management.
  • Proven ability to interact effectively with all levels of management.
  • Excellent communication skills, both written and verbal.
  • High school diploma required.
  • Strong attention to detail and exceptional organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with travel platforms.
  • Demonstrated ability to handle confidential information with discretion.
  • A proactive attitude and a willingness to adapt to changing priorities.
  • Capable of working core hours Monday through Friday from 9 AM to 5 PM EST.
  • US citizen residing in the United States and able to work EST hours.

Preferred Skills

  • A bachelor’s degree is preferred.
  • Advanced training in the Microsoft Office Suite, particularly Excel and PowerPoint.
  • Previous experience supporting government contracting companies or customers.
  • Basic IT support experience is a plus, including troubleshooting common tech issues.
  • Experience with recruiting teams or hiring processes.
  • Previous experience with suitability or clearance processes

Clearance Requirements

Must be eligible to obtain and maintain a Public Trust clearance.
