Description:
United Plaza Real Estate is seeking a skilled and organized individual to join our team as an Administrative Assistant and Secretary.
In this role, you will provide comprehensive administrative support to ensure the smooth functioning of our office by Supporting managers, employees, and clients through a variety of tasks related to organization and communication.
As an integral part of our organization, you will handle various administrative tasks and assist with secretarial duties to maintain an efficient and productive work environment with ensuring that all duties are completed accurately and delivered with high quality and in a timely manner.
Responsibilities:
- Answer and direct phone calls, take messages, and handle inquiries in a very polite and professional manner.
- Manage calendars, schedule appointments, and coordinate meetings.
- Prepare and maintain all databases of clients, residential and commercial properties, agreements, and all related documents.
- Draft and prepare correspondence, memos, reports, and presentations.
- Manage and prioritize incoming and outgoing correspondence, including emails and letters.
- Maintain and update filing systems.
- Coordinate with HR and Finance and legal department for all transactions related to the properties, clients, and employees.
- Assist in the preparation of all real estate service documents.
- Organize and maintain confidential records and documents.
- Track and order office supplies, always ensuring availability.
Requirements:
- Previous experience in real estate is preferable.
- Strong verbal and written communication skills.
- Keen attention to detail
- Knowledge of real estate laws and regulations is an advantage
- Self-motivated and excellent multitasker
- Effective and accurate report-writing
- Proficient computer skills, and CRM
