Job description

An Office Administrator professional will oversee operations across the organization’s office. He/She will be a prominent ambassador of DataFlow as the first person the applicant interacts with in the office. , The role will have dynamic responsibilities ranging from managing end-to-end office procurement, company events, vendor management, and other exciting projects.

Duties and responsibilities:

  • Provide excellent front desk support to guests and clients.
  • Timely Management of C-suite requirements such as flight and hotel bookings, and calendars.
  • Manage courier shipments to and from the office.
  • Manage office file systems seamlessly and govern an efficient automated system of initiations and renewals.
  • Own the office calendar of events, proactively coordinating meetings, and corporate-wide events from end to end.
  • Vendor Management: Liaise with external service providers, negotiate contracts, and maintain relationships with vendors.
  • Good working knowledge of legal setup of employee requirements such as Visas, permits, etc. within the free zone district.
  • Collaborate with HR on logistically planning CSR events.
  • Proactively and continuously growing employee benefits portfolio in collaboration with HR.
  • Continuous proactivity in upkeeping the office and creating a better working environment for everyone.
  • Budget Management: Monitor and manage the administrative budget, making cost-effective decisions and optimizing expenses.

Requirements & Skills:

  • 6+ years experience in a role supporting C-level executives and office management
  • Excellent communicator – able to interact with people of all levels in a confident, professional manner.
  • Service focus – dedicated to meeting the business expectations by maintaining effective relationships with stakeholders
  • Ability to think outside of the box with a sense of urgency
  • Excellent organizational and time management skills.
  • Able to maintain a high level of integrity and discretion in handling confidential information.
  • Excellent Negotiation skills with vendors and stakeholders.
  • Impeccable attention to detail.
  • Sustainable mindset for continuous governance of office.
