Job Overview

We are seeking a highly organized and detail-oriented Accounts Payable/Accounts Receivable Clerk to support our growing network of independent charter schools. The ideal candidate will have a strong background in accounts payable and receivable, assisting in month-end reconciliation and file management. This role will report directly to the School Finance Manager. We are a small organization that is growing quickly, and we want to find the right person to grow with us.

Responsibilities

    Accounts Payable (AP) and Accounts Receivable (AR) Processing:

  • Daily entry and monitoring of Accounts Receivable and Accounts Payable transactions for multiple charter schools
  • Ensure proper documentation, coding, and approval is present for all transactions
  • Process payments as necessary through Melio system
  • Processes Purchase Orders as necessary.
  • Ensure accuracy and timeliness in processing invoices, payments, and collections.
  • Monitor accounts to ensure payments are up to date and discrepancies are resolved promptly.

    Vendor and W-9 Management:

  • Maintain and update vendor files, including W-9 forms and vendor contracts.
  • Ensure proper vendor bid procedures are followed
  • Ensure compliance with IRS regulations and organizational policies regarding vendor documentation.

    Communication and Collaboration:

  • Excellent customer service with internal and external stakeholders
  • Liaise with school administrators and vendors to resolve billing issues and discrepancies.
  • Collaborate with the School Finance Manager and other team members to streamline processes and improve efficiency.

    Compliance and Policy Adherence:

  • Adhere to organizational policies and procedures related to financial transactions and data management.
  • Assist in audits and compliance reviews as needed.

    Support and Training:

  • Provide support and training to school staff on financial procedures and best practices.
  • Assist in the implementation of new financial systems or processes as directed.

    Other Duties:

  • Perform other duties as assigned in support of the finance function or organizational priorities.

Basic Qualifications

  • Proven 3-5 years experience in accounts payable/receivable or related financial roles.
  • Strong organizational skills with high attention to detail.
  • Proficiency in Quickbooks Online, Microsoft Office Suite (especially Excel) and Google Suite.
  • Experience working with multiple clients or accounting divisions.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Ability to travel to various locations along the Front Range as needed

Preferred Qualifications

  • Familiar with Colorado Department of Education Chart of Accounts
  • Colorado school or district experience
