Job Description
AIP AP Team, and work overview:
- The small yet nimble AIP AP team consists of 3 members that perform regular Accounts payable and broker commission work.
- Reporting to the Accounting Manager, the AP Coordinator will be responsible for the timely and accurate processing of vendor invoices, management of accounts payable ledger, processing payments, and reconciling with bank activity.
- This person needs to be able to tackle new assignments and accomplish organizational priorities in a team environment. The candidate will have well-developed interpersonal and communication skills.
- The coordinator will collaborate with other departments and external vendors to resolve discrepancies, ensure proper documentation, and maintain efficient accounting operations
Essential Functions:
- Inputs vendor invoices into accounting system, processes weekly check and ACH runs.
- Maintain vendor database, ensuring all records are complete and current.
- Monitor and reconcile cashed and outstanding checks
- Review and process employee expense reports in Concur, ensuring compliance with company policies and that all receipts and documentation are properly submitted
- Issues Annual 1099’s
- Monitor and Reconcile Accounting Credit Card Monthly
- Post daily cash receipts from the bank statement (ACH, Lockbox)
- Assist in the month-end closing process by providing necessary reports and ensuring all payables are recorded accurately
- Provide accounting support to finance personnel
- Other duties as assigned
Required Education, Experience, And Skills
- High School Diploma or GED, and minimum three years of accounts payable experience with strong knowledge of accounting processes (accounts payable, accounts receivable, and general ledger)
- MS Excel Proficiency with V-look up (must have), pivots, formulae, Index, etc.
- Experience with modern accounting software like NetSuite, SAP Business One, etc.
- Experience in data and report analysis like variance analysis, etc.
- Experience working with CRM tools such as Salesforce or similar
- Tech savvy; you like using short keys
- Ability to work as a team player in a small, fast paced environment
- Strong interpersonal skills and ability to deal with customers in a positive and professional manner.
- Ability to multitask, detail oriented, accurate and thorough in performing job duties and relating with others.
- Strong attention to detail
Preferred Education, Experience, And Skills
- Associates degree or having taken Business/Accounting courses at the college level
- Reporting and data querying capabilities
- Experience working with Concur
- Experience with Salesforce
- Prior Broker Commission Coordinator experience
Hourly salary range : $25/hr to $27.16/hr
Bonus: Up to 10% of annualized salary
Benefits (partial list) : $80/ month connectivity stipend, up to 20 days per year PTO, 9 national holidays, medical/dental/vision with HRA/FSAs, and other perks.

Work Environment: Except for our Customer Care roles which necessitates onsite work, most other roles are remote. AIP is a remote-first company; however, our roles are open to in-office or flex work if you live in a city with a physical office location
Physical Demands: We primarily collaborate with our colleagues through virtual meetings and office collaboration tools. Employees will have to operate a laptop computer (PC or Mac available), computer software platforms, and other office productivity machinery, as necessary. Employees must be able to remain stationary for extended periods and must be able to observe and interpret written and/or verbal communication.
