The Executive Assistant will act as the operational backbone for our Chief of Staff and leadership team, ensuring they can focus on high-impact decisions. You will anticipate needs, coordinate key conversations, and act as a trusted partner to bring clarity and alignment across the organization. Your work will ensure initiatives progress smoothly, enabling our leadership to drive BTC Inc’s ambitious mission forward.

Key Responsibilities:

  • Manage complex calendars across multiple time zones, ensuring leaders are prepared and focused.
  • Coordinate executive meetings, investor roundtables, international meetups, and leadership off-sites, handling agendas, logistics, and follow-up.
  • Draft, edit, and send communications on behalf of executives, serving as a liaison with external stakeholders.
  • Manage high-volume inboxes, review reports and agreements, and prepare presentations, memos, and other executive materials.
  • Plan detailed travel itineraries for domestic and international trips, including contingency plans.
  • Oversee logistics for executive events, dinners, and multi-day gatherings, ensuring all details are covered.
  • Provide general office and operational support, including catering, expense tracking, and vendor coordination.
  • Maintain comprehensive records, track deliverables, and ensure deadlines are met across departments.
  • Support relationship-building efforts with industry leaders, investors, and partners through coordinated outreach.
  • Conduct market research and prepare briefing materials on industry trends, competitors, and strategic opportunities.
  • Communicate proactively with teams, surface blockers, and drive follow-through.
  • Identify opportunities to streamline systems, improve workflows, and enhance operational efficiency.
  • Navigate ambiguity confidently, solving problems before escalation and staying ahead of team needs.

Qualifications & Skills:

  • 3+ years as an executive assistant or operational support in a fast-paced, high-growth environment.
  • Proven ability to support multiple leaders simultaneously with accuracy and reliability.
  • Strong written and verbal communication skills, professional and confident.
  • Experienced in organizing well-executed gatherings, from team dinners to leadership offsites.
  • Proficient in Google Workspace, Slack, Zoom, Notion, and travel platforms.
  • Trusted with sensitive information, handling it with discretion.
  • Detail-oriented, organized, diplomatic, and proactive.
