Job Purpose:
The Contracts Administrator supports the Contracts Team and Legal function by preparing contract documents, maintaining contract files and databases, responding to contract inquiries, and tracking renewals, terminations, and deliverables. You’ll work closely with the Senior Contracts Manager and partner teams to ensure timely execution and accurate contract records across vendors, customers, contractors, and suppliers.

Key Responsibilities:

  • Prepare and route standard template agreements to vendors, contractors and other third parties.
  • Maintain contract records and perform database clean-up; produce contract summaries and ensure file completeness.
  • Field contract inquiries and escalate legal issues as appropriate.
  • Track and audit “in progress” contracts; follow up with stakeholders to drive execution.
  • Provide monthly contract reporting to internal stakeholders and support ad hoc reporting requests.
  • Respond to requests for Certificates of Insurance (COI) and coordinate with vendors to obtain required documentation.
  • Notify stakeholders in advance of key contract dates (renewals, expirations, deliverables) and support contract amendments with project managers.
  • Support special projects including amendments, system conversions, new client onboarding, and other cross-functional initiatives.

Required Qualifications & Skills:

  • 3+ years’ experience drafting, reviewing, and administering commercial contracts (experience with education or government-facing vendors preferred).
  • Strong attention to detail with proven ability to prioritize and meet deadlines while maintaining confidentiality.
  • Excellent written and verbal communication and demonstrated ability to collaborate across teams.
  • Comfort working in a fast-paced environment, juggling competing priorities and tasks.
  • Familiarity with contract management workflows, COIs, and basic contract reporting.
  • Proficiency in MS Office (Excel, Word, PowerPoint) and ability to learn contract database tools.

  • Bachelor’s degree or equivalent business experience required.

Status:

  • Full-time

Location & Travel:

  • Remote role with periodic travel to Washington, DC (approximately twice per year).

Compensation:

  • Base salary range: $55,000 – $60,000 (actual offer may vary based on location, experience, and other factors).
  • Note: Base pay is exclusive of benefits or other incentives.
